Privacy
We take personal privacy seriously. This notice explains what information we hold, why we hold it, who we share it with, and what you can do about it.
Harleys Global Limited is the controller of the personal data described here. If you have a question about any of it, email hello@harleys.agency or use the contact details at the bottom of this page.
We handle personal data in accordance with the UK GDPR, the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations 2003.
What we collect, and why
If you contact us or fill in a form on this site — we collect your name, contact details and whatever you choose to tell us, and we use it to answer you. Our lawful basis is our legitimate interest in responding to enquiries. Please don’t send bank details or other sensitive information by email or web form; neither is encrypted by default.
If you’re a client or supplier — we hold contact details and correspondence for the people we work with, and we use them to deliver and administer the work. Our lawful basis is performance of a contract, or our legitimate interest in managing the relationship where the contract is with your organisation rather than with you personally.
If we contact you about our services — we may hold your business contact details, including details obtained from third-party business databases (see below). Our lawful basis is our legitimate interest in business development, and we’ll stop the moment you ask us to.
If you subscribe to our mailers — we hold your email address and engagement data, and use it to send promotional campaigns and articles. You can unsubscribe from any mailer we send, and we’ll keep a record of your address on a suppression list so we don’t contact you again by mistake.
If you visit this website — we collect analytics data about how the site is used, but only where you’ve consented to analytics cookies. See Cookies.
If you join a call with us — we may record and transcribe meetings to produce notes and summaries. Our meeting invitations say so in advance, and you can tell us at any point that you’d rather we didn’t.
Where we get contact details from
Most of the personal data we hold comes from you directly. For business development we also use third-party business contact databases to identify people who may have a professional interest in what we do. The data is business contact information — typically name, job title, employer and work email address. We’ll tell you which database on request.
If we’ve contacted you on that basis and you’d rather we didn’t, reply and tell us, or email hello@harleys.agency. We’ll remove you and add you to our suppression list.
The tools and services we use
We use a small number of trusted operational tools and services to support the agency. Each one handles personal data under contract with us, for the purpose we’ve engaged it for, and each publishes its own privacy policy setting out what it does with information.

- Accounting and financial administration
We keep a current list of these tools and services, and the countries in which they store data. If you’d like to see it, ask us and we’ll send it over.
This website separately uses Google Analytics for visitor statistics and HubSpot to recognise returning visitors, and loads fonts and code libraries from Google Fonts, Adobe Fonts, Font Awesome and jsDelivr. Doing so shares your IP address with those services. See Cookies.
We don’t sell personal data, and we don’t share it with anyone else unless you ask us to, or we’re required to by law.
Where we handle personal data on behalf of a client as part of a project, we do so as their processor and on their instructions, under the data processing terms in our Terms and Conditions.
Where your data is held
These tools and services store data in the UK, the European Economic Area and the United States. Where personal data goes to a country without UK adequacy regulations, we rely on the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses. Ask us and we’ll tell you where a particular set of data sits.
How long we keep it
We keep personal data for as long as we need it for the purpose we collected it, and then delete it. In practice:
- Enquiries that don’t lead to work — while there’s a realistic prospect of us working together, and for a reasonable period afterwards in case you come back to us
- Client and supplier records — for the engagement, and afterwards for as long as we may need them to deal with a query, claim or legal obligation
- Accounting records — six years from the end of the financial year, as the law requires
- Marketing subscribers — until you unsubscribe
- Suppression lists — indefinitely, so that we can honour your opt-out
- Meeting recordings and transcripts — for as long as they’re useful to the work they relate to. We review them periodically and remove those we no longer need. You can ask us to delete a recording of a meeting you attended at any time
- Website analytics — 14 months
If you’d like to know how long we’re holding something in particular, just ask.
Your rights
You have the right to ask us for a copy of the personal data we hold about you, to have it corrected or deleted, to restrict or object to how we use it, to receive it in a portable format, and to withdraw consent where we’ve relied on it. You can also object to direct marketing at any time, and we’ll always act on that.
Email hello@harleys.agency and we’ll respond within one month.
If you’re unhappy with how we’ve handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk, or on 0303 123 1113. We’d appreciate the chance to put it right first.
Third-party websites
We link to other websites in our articles. This notice covers harleys.agency only. If you follow a link elsewhere, that site’s own privacy policy applies and anything you give them is between you and them.
Changes to this notice
We update this notice from time to time. The version number and date at the foot of the page tell you where we’re up to, and we’ll flag any change that materially affects you. Earlier versions are available on request.
Cookies
Cookies are small text files placed on your device when you visit a website.
We use essential cookies to make the site work. These don’t need your consent.
We use analytics and marketing cookies to understand how the site is used and to recognise you if you come back. These come from Google Analytics and HubSpot. They’re only set if you accept them, and you can change your mind at any time using the cookie settings link on this site. Declining them won’t stop anything working.
You can also block or delete cookies through your browser settings.
